Internal Events Manager
SUMMARY:
We are seeking a dynamic and highly organized Internal Events Manager to lead the planning and execution of internal events that engage, inspire, and strengthen our company culture at Zoox. The role requires creativity, excellent project management skills, and the ability to collaborate with cross-functional teams to deliver memorable experiences for our employees.
While the primary focus of this role is on internal events, 25% will be dedicated to project management and employee communication tasks. We’re seeking a candidate with strong project management and communication skills, along with a flexible mindset to adapt to the varying needs of the team.
Key Responsibilities:
- Event Planning & Execution:
- Plan, organize, and execute internal events such as team-building activities, company-wide meetings, cultural events, milestone celebrations, workshops, recognition events, holiday parties, and employee engagement initiatives, in both in person and virtual environments.
- Develop event concepts aligned with company culture, values, and goals.
- Handle event logistics, including venue booking, catering, equipment setup, guest lists, and agenda creation.
- Cross-functional Collaboration:
- Work closely with our People Experience, Facilities, Culinary, Security, Design, and our Leadership team to ensure alignment on event objectives, messaging, and goals.
- Collaborate with internal departments to secure speakers, panelists, and other resources needed for events.
- Budget Management:
- Develop and manage event budgets, ensuring cost-effective planning and use of resources.
- Track event expenditures and provide post-event financial reports.
- Vendor & Stakeholder Management:
- Identify and manage relationships with vendors and our external events agency.
- Negotiate contracts to ensure the best quality and value for the company.
- Employee Engagement & Feedback:
- Strengthen our Employer Brand by developing event concepts and opportunities for engagement to excite crew, build connectedness, and create strong connections to our mission, purpose, and values.
- Gather feedback from employees before and after events to measure success and improve future initiatives.
- Continuously find new ways to enhance employee participation and engagement.
- Communication & Promotion:
- Develop and execute employee communication plans for events, including email announcements, Slack posts, speaker notes/slides for company all hands, and digital signage.
- Ensure employees are well-informed about upcoming events and know how to participate.
- Post-event Reporting:
- Analyze event success by gathering qualitative and quantitative feedback.
- Produce reports on engagement levels, attendance, and overall effectiveness of each event.
- Bachelor’s degree in Event Management, Communications, Marketing, Human Resources, or a related field.
- 5+ years of experience in event planning
- Excellent project management and multitasking abilities.
- Proven experience organizing events of varying scales, from small team-building activities to large company-wide events.
- Strong communication and interpersonal skills.
- Proficiency with Asana and other project management tools.
- Proficiency with Ariba is a bonus but not required
- Ability to work in a fast-paced, deadline-driven environment.
- Creative problem-solving skills and a keen eye for detail.

Pay range is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location.
